My Reports

My Reports

In inFlow Inventory for Windows, you can save reports under My Reports for quick reference without changing the filters /settings each time.

These are user-specific only. Reports saved under My Reports will only be available on the user login that created them.

To add a report to My Reports:

1. Open up a standard report.
2. Click the >>More link.
3. Click the Add to My Reports button.

To view My Reports, click My Reports at the bottom under All Reports. Move the mouse pointer over each report to preview it.

Sales by Product Summary report

Does this report include deactivated items?

No – the Sales by Product Summary report doesn’t include deactivated items. This will impact the Cost of Goods Sold calculation in this report since your deactivated products aren’t counted toward it. 

Workaround: generate a Sales by Product Details report to include deactivated items.

1. In the filter fields on the left side of the report, click on the Products field and then “Select products…”
2. In the Product Selection screen, click into the Show field, select “Show All” and hit Refresh
3. Move ALL the products in the left panel to the right panel, and hit Select then Generate Report

What does Sales Cost mean?

Sales Cost is the cost per unit of your product. 

How does inFlow generate the data for the Location column?

The location column displays the location that was recorded on the sales order, not necessarily where the product was when it was sold. 

Sales Order Profit report

How does inFlow calculate the Cost column?

Cost is the product cost value + non-customer costs on the sales order.

How does inFlow calculate the Cost of Goods Sold column?

Unlike the Cost value, the cost of goods sold does not take into account non-customer costs. Please see here for a breakdown of how inFlow calculates the Cost of Goods Sold (COGS).

If you don’t have any non-customer costs on the sales order, you’ll find that the COGS and Cost values will be the same in the report.

Inventory Summary report

How does inFlow calculate Total Sales Value?

Total Sales Value is calculated based on your quantity owned, not quantity on hand (like in the Inventory Details report). 

Inventory Details Report

What does the Quantity field mean?

In this report, the Quantity field is your quantity on hand.

How does inFlow calculate Total Sales Value?

In this report, the Total Sales Value is calculated based on quantity on hand (this is different from the Inventory Summary report, which calculates this value based on quantity owned). 

Historical Inventory report

How does inFlow calculate the Quantity Owned field?

This report calculates your quantity owned at the end of the day of the selected target date. Quantity owned is determined by shipping date if shipping is turned on or invoice date if shipping is turned off.

In other words, the Historical Inventory Summary report records that a product is removed from inventory on the shipped or invoiced date.

Inventory Movement Summary

How does inFlow calculate the Quantity On Hand field?

This report calculates your quantity on hand at the end of the day of the selected target date. Quantity On Hand is determined by the pick date on a sales order. 

In other words, the Inventory Movement Summary report records that a product is removed from inventory on the picked date.

How does inFlow calculate the Quantity field? 

This report calculates your quantity on hand, which is determined by the order date.

In other words, the Inventory Movement Details report records that a product is removed from inventory on the order date.

NOTE: This report will not account for inventory that is not in a location (in transit, etc).

Causes for quantity changes

If your sales order shipped or invoice date changed since you last pulled the report, your product quantities may be different the next time you generate it.

• If the shipped/invoice date on your sales order changes to a date after your specified target date, it’s expected that your product quantity will be higher than a previously generated report. In this scenario, your product moved out of inventory on a later date than the target date in your report, and will still be counted towards inventory.  
• If the shipped/invoice date on your sales order changes to a date before your specified target date, it’s expected that your product quantity will be lower than a previously generated report. In this case, your product moved out of inventory before the target date in your report and will no longer be counted as part of the inventory.  

With this in mind, you can check and compare the shipped or invoice date of a sales order to its previous versions.

How to check the invoice date or shipped date on a sales order

If you have shipping turned off

You can toggle between Order Date and Invoice Date on a sales order by clicking the small black arrow next to the field drop-down:

If shipping is turned on, the Historical Inventory report will go by the product’s shipped date. You can check when a product was shipped by clicking into the Ship tab and selecting Shipping Details:

The Dashboard allows you to change the date range, but the parameters are always set. With this in mind, sometimes you’ll run into different numbers. This doesn’t mean your inventory/information is incorrect, as you should be able to generate reports using the dashboard parameters that will show you the information used to come to those totals.

The Dashboard’s parameters and the report you can generate are listed below.

Note:

• Your time ranges should always match; for example, if you’re showing information for “Last Month” in the dashboard, you should always use the same “Last Month” setting on your reports.
• The dashboard grouped by “Months” or “Weeks” will only show an average across the time range. You might want to switch to group by “Days” and it will match up with your reports.

To access this report, go to the Main Menu > Reports > All Reports. For customers, look under the Sales Reports section, and for vendors, it’s under Purchasing Reports.

Total Sales & Taxes Charged for your filing year can be pulled via the Sales Tax report. Simply change the Order Date filter to “Last Year” and write down the total Sales Amount (as noted on the last line of the last page of your report). inFlow can also break these amounts down by state by state if necessary.

Opening & Closing Value of Inventory that was in stock on a certain date can be pulled using the Historical Inventory Report. You will have to pull this report twice: once by setting the Target Date for the first of the year (Jan 1) and once by setting it for the last day of the year (Dec 31).

Please note: orders that are partially completed will not be counted as moved so if you had a partially completed purchase order, that stock will not be counted towards your current inventory on the target date. The same is true of partially completed sales orders as that stock will not be considered to have been shipped out if it’s partially shipped as of the target date.

Purchases during the year (not expenses) should be the total paid for goods you’ve re-distributed or used to manufacture something you distributed. The Purchase Order Summary Report should provide the necessary information if you change the PO Date to filter for Last Year.

End of day profit report

This is useful if you wanted to see your sales / profit totals for today. Typically this report also includes cost of goods sold.

1. Go to Main Menu > Reports > All Reports.
2. Click Sales Order Profit Report.
3. Ensure that you have set the filters to show only orders that have the Payment Status, “Paid” and the date is today’s date.
4. Click Generate Report.
5. Click Print, or click Save As to export the report to Excel / PDF.

End of day cash report

This one’s useful for retailers who need to check the cash float at the end of the day.

1. Go to Main Menu > Reports > All Reports.
2. Click Customer Payment Details report.
3. Ensure that you have set the filters to show only orders that have the Payment Date “Today” and Payment Method “Cash”.
4. Click Generate Report.
5. Click Print, or click Save As to export the report to Excel / PDF.

Inventory summary report

This includes information on the current stock, such as current quantity and total cost value of what you have in your warehouse.

1. Go to Main Menu > Reports > All Reports.
2. Choose the Inventory Summary Report.
3. We suggest clicking the >>More link and choosing how you’d like to sort your items.
4. Click Generate Report.
5. Click Print, or click Save As to export the report to Excel / PDF.

Inventory aging report

This report is useful if you want to see the length of time your items have been in inventory. It’s also a great way to see if sales for an item have slowed down.

1. Go to Main Menu > Reports > All Reports.
2. Choose the Inventory Aging report.
3. You can filter by a specific category or individually select the products you want the report generated for.
4. Click Generate Report.
5. Click Print, or click Save As to export the report to Excel / PDF.

Outstanding orders report

This report gets you information on what orders need to be shipped out and their requested ship dates.

1. Go to Main Menu > Reports > All Reports.
2. Choose the Sales Order Operational Report.
3. Ensure that you’ve filtered to show only orders that are in Inventory Status “Unfulfilled” and “Started”.
4. Click Generate Report.
5. Click Print, or click Save As to export the report to Excel / PDF.

These two key things are important because, for example, if you had nothing inputted into the Cost section while you sold your items, your profit reports will show that you sold them for a cost of $0!

This is the most common thing that affects cost reporting so have a look at the screenshot below to see where you need to enter your product cost:

Unfortunately, if you didn’t have your cost information in the system at the time of your sale, inFlow doesn’t have the necessary information to get you your profit numbers. This is fixable by backdating the cost but not all costing methods use the same method to backdate. Please see this article for how to change/backdate the cost depending on your costing method.
